We are looking for the Executive Assistant to support the EVP Head of CHC (Consumer Health Care) ! Our Team: The Executive Assistant will support the EVP Head of CHC (Consumer Health Care) and team. The position serves as an important member of the CHC organization and is a key interface to CHC LT, internal, external contacts and stakeholders, establishing and maintaining the professional interface/impression of CHC. The Executive Assistant is responsible for performing a variety of administrative, business supportive, technical and clerical tasks and activities including but not limited to meeting and calendar prioritization & management, travel arrangements, expense reporting, project support, procurement administration, communications, ad hoc support as needed. Main responsibilities: Provide logistic and administrative support to Head of CHC and team :Manage in an optimal way a very busy and complex agendaOrganize key internal/external appointments and manage logistics for external visitorsAutonomously manage the agenda of the monthly team meetingsEffectively schedule and coordinate meetings (face-to-face and remote) and specific events (workshops, off-sites) organized by CHC Leadership team.Schedule and organize business trips of CHC team including:Liaise with the local teams to prepare the agendaBook travel arrangements.Validation of Travel requests and Expense reports on behalf of CHC Head in the most efficient way and respecting the Sanofi policyUpdate distribution lists, org charts and other key materialEnter Purchase Requisitions and track InvoicesTrack DOAs.Validate in systems and toolsFacilitate the preparation of CHC meetings as a standalone organization or linked to Sanofi needsRegular contact with the Chairman’s executive assistantRegular contact with the CHC assistants and managersPrepare the governance calendarCoordinate with the CHC Teams to ensure the pre-reads are provided in due timeSupervise the logisticsParticipate in the team mission:Work collaboratively with the ExCom Assistants + CHC assistants and managers.Facilitate the smooth coordination of the department activities About you You have a previous experience in a similar role, in a complex, fast-moving and international environmentYou have a good understanding of the business and you know that it requires a high level of confidentialityYou have excellent organization and time management skills (manage priorities, anticipate and rearrange agenda, time and gate-keeper)You are a team player with excellent interpersonal skills, who can build network and work in partnershipYou're praised for your positive attitude, enthusiasm and a strong sense of serviceProject management experience is a plusGood computer skills and knowledge of the Sanofi-specific tools (Concur/My Travel, ITS portal, e-Bap, Workday, etc.)Fluency in English & French is mandatory Pursue progress, discover extraordinary Better is out there.
